• Navigate to Voyager and select "School Counselor or Administrator."
• If you are new to the Voyager system, select "+ Submit Access Request," fill out the form, and select submit.
• Once submitted, a CIHS staff member will review your request and approve.
• When you are approved, you will receive a confirmation email containing the password reset steps to gain access to Voyager.

How Do I Review Students?

1. Select the Students tile.
2. Select the term you want to review.
3. You will be directed to the Pending Review tab.
4. Select Submit Rec. for the student you would like to review.
   
   • Note the term by checking the tab above, for example, Fall 2026 Class(es) Recommendation.

How to Approve a Student's Request

1. If you approve of the course request and the student has met the prerequisites listed in the course description, select Approved under Recommendation.
2. Keep the prerequisite indicator set to Yes.
   • If the prerequisite was completed outside of HVCC, through an AP exam or at another college, note the course and grade or exam score at the bottom of the recommendation.
   • If you have any questions, email cihs@hvcc.edu.
3. Select the appropriate Free Reduced Lunch Eligibility.
   • This is determined on an individual student basis and is not based on whether all students at a high school receive free lunch.
4. Select Submit Recommendation.
   • Once approved, the student's request will be sent to our system. The student will be registered if seats are available and there are no holds on their HVCC account.
   • The student will be notified once registration is complete.

How to Deny a Student's Request

Select Not Approved under Recommendation if:

• The course was selected in error.
• The student does not have the necessary foundation.
• The student is ineligible based on your requirements.

Note: Courses that are not approved will not be registered, and the student will be notified. This does not negatively impact the student or prevent them from requesting this course or other courses in the future.

What to Do if a Student Requests Multiple Sections of the Same Course 

1. If a student requests multiple sections of the same course (for example, two sections of ENGL 101), verify that the sections have the same term dates and modality.
2. If the sections do not have the same term dates or modality:
   • Confirm which section the student wants to take.
   • Mark all other sections as Duplicate under Recommendation.
3. If the sections have the same term dates and modality:
   • Mark one section as Approved under Recommendation.
   • Mark all other sections as Duplicate.

Note: When students request multiple sections of the same course, it can slow the registration process and may prevent other students from obtaining a seat in the course.

What if a Student Was Reviewed Incorrectly?

If you need to update a student's approval status after it has been submitted, email cihs@hvcc.edu. Although reviewers cannot make changes after submission, HVCC can update the status if a correction is needed. For example, you may need to request a change if you marked a student as Not Approved and they later provide documentation showing they have met the prerequisites.

Can I Change the Free or Reduced Lunch (FRL) Status After I Have Reviewed the Student?

Yes. If you need to update a student's FRL status, you can do so as long as the registration term is still open.

How to Update the FRL Status

1. Log in to Voyager and select Students.
2. Select Students by Term.
3. Select View Details next to the student whose FRL status you want to update.
4. Select the tab for the term you would like to update, such as Fall 2026 Class(es) Recommendation.
   • Note: If the enrollment period has ended, you will not be able to make this update.
5. Scroll down and update the FRL status.
   • Select Yes if the student qualifies for FRL. The student's bill will be adjusted accordingly, typically overnight.
