Chartwells Catering thanks you for your interest in our catering services. Successful events start and end with proper planning.

Room Reservations

In order to reserve your meeting space; please contact the Office of Special Events at (518) 629-4829. This department will handle all your seating, table, set-up and audio-visual needs.

Food and Beverage Arrangements

Please contact Chartwells Catering office at (518) 629-7173 as early as possible to book your event and ensure availability of product. Events that are scheduled with less than 48 hours notice may be subject to limited menu and service selection. Signed contracts with on-campus clients are required with college purchase orders one week prior to the event.

Room Availability

Our staff will need access to meeting space for set-up and breakdown. If the room is not available at the contracted time for delivery, your event will be returned to the Campus Center and may be picked up at no additional charge. You may also arrange for a second delivery based on server availability. Please understand that our servers can not wait to gain access to rooms as this will cause them to be late for other deliveries. If you need to change the pick up time, please do so prior to the scheduled pick up time. If a server is sent away, you will be billed $25 for a second pick up.

Guarantees

Upon booking your event, you will be asked to estimate the number of people that are expected to attend. A guarantee count is required three working days prior to all standard events and four working days prior to all served meals and hot buffets. Your final bill will be based upon the guaranteed count or the number served whichever is greater.

Cancellation

If a standard event is cancelled with at least 72 hours notice there will be no cancellation charges. If an event is cancelled within 72 hours, you will be charged for any non-recoverable items (labor, special ordered items, linens, food already prepped). In the event of forecasted inclement weather, the catering office will call all scheduled events and confirm arrangements. Any group that does not cancel at that time will be billed for their event.

Service fees

Events needing only drop-off service are subject to a delivery fee. Labor charges will be applied to all full-service catering — please call for the appropriate rate. Standard service time for events is a maximum of two hours. If your event requires or exceeds the two-hour maximum, additional costs may be added to the bill.

Payment

College funded events will require a purchase order upon signing of contract. If your organization is tax-exempt, a current tax exempt certificate must also be included in order to claim exempt status. Non-college funded events are paid in full 48 hours prior to events — no exceptions.

Equipment

Please do not remove any catering equipment from contracted location. Any missing equipment will be billed to the person signing the contract.

On-premise food consumption

Chartwells complies with the Health Department requirement ensuring that all food and beverage items served at catered events be consumed and/or remain on the premise. We apologize, but unused food may not be packaged for take out.
